Privacy Policy

1. Introduction
SF Nannies ("we," "us," or "our") is a nanny referral agency serving families in San Francisco and the greater Bay Area. This Privacy Policy explains how we collect, use, and protect your personal information when you visit sfnannies.com, contact us, or use our referral services.
SF Nannies is a referral agency. We introduce caregivers to families; the family hires the caregiver directly, and we are not the caregiver's employer.
2. Information We Collect
Information you provide directly. When you work with us, we may collect:
Contact information: your name, email address, phone number, and mailing address
Family information: details about your household, children's ages, childcare schedule, care preferences, and the role you are hiring for
Search records: consultation notes, feedback on candidates you meet, and the outcome of your search
Payment information: processed by our payment provider; we do not store full card numbers
Information collected automatically. When you visit our website we collect the usual technical data — IP address, browser and device type, and pages visited — through Google Analytics and cookies. See Section 8.
Caregiver applicants. If you apply to be referred by SF Nannies, we collect your résumé, references, certifications, and screening information. Section 10 explains how we handle it.
3. How We Use Your Information
To run your search: evaluate your needs, present candidates, arrange interviews, and support the introduction through hire
To communicate with you about your search and our services
To improve our website and services
To send occasional updates or newsletters, which you can opt out of at any time
To meet our legal and recordkeeping obligations
4. How We Share Your Information
We do not sell your personal information, and we do not share it for advertising.
Between families and caregivers: with each side's permission, we share the information the other needs — a candidate's profile and references with a family considering them, and the family's role details with candidates. We do not forward background check reports; we confirm in writing which checks were run and whether the candidate met our standards.
Service providers: background screening, e-signature, email, analytics, and payment vendors that help us operate, under confidentiality obligations
At your direction: if you ask us to send your information to someone specific, we will
Legal reasons: if required by law or legal process, or to protect the safety of a child or another person
Business transfers: if SF Nannies is ever sold or merged, with notice to you before your information becomes subject to a different policy
5. Data Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, and we limit access to sensitive records to the people who need them. No method of storage or transmission is completely secure, and we cannot guarantee absolute security. If a breach affects your information, we will notify you as required by law.
6. Data Retention
We keep personal information as long as reasonably necessary to provide our services and meet our legal and contract obligations — generally up to four years after an engagement ends — and then delete or de-identify it. If you ask us to delete your information sooner, we will honor the request except where the law requires us to keep specific records.
7. Your Privacy Rights
California residents may request to know, correct, or delete the personal information we hold about them. We do not sell or share personal information as those terms are defined by the CCPA, so there is nothing to opt out of. We will not discriminate against you for exercising any privacy right.
To make a request, email info@sfnannies.com. We will verify your identity and respond within 45 days. You may use an authorized agent with signed proof of authorization. Parents may make requests about information we hold concerning their children.
8. Cookies and Analytics
Our website uses essential cookies and Google Analytics to understand how visitors use the site. We have not enabled Google's advertising features or remarketing, and we do not use analytics data to identify individual visitors. You can control cookies in your browser settings or opt out of Google Analytics at tools.google.com/dlpage/gaoptout. Our site does not respond to Do Not Track signals, as there is no common standard for them.
9. Children’s Privacy
Our services are for parents and guardians. We do not knowingly collect information from children — information about your children (ages, schedules, care needs, allergies) comes from you, the parent or guardian. We treat it as confidential, share it only with candidates you are actually considering, never use it for marketing, and delete it with your family's records. Parents may ask us to access, correct, or delete it at any time.
10. Caregiver Applicants
If you apply to be referred by SF Nannies, this section is for you.
We collect your résumé, work history, certifications, references, and date of birth, and — with your written permission — order a background check through an independent screening company, which may include criminal record, sex offender registry, Social Security number trace, county court, and driving record searches.
Before any check, you receive a standalone written disclosure and sign an authorization, and you can request a copy of your report. If a report leads us to decline to refer you, we will tell you and give you a copy with time to respond, as the Fair Credit Reporting Act and California law require.
We do not give your report to families. We tell them which checks were run and whether you met our standards. A family that wants its own report must order one itself, with your separate authorization.
We ask every applicant the same question — whether you are authorized to work in the United States — and nothing about citizenship or immigration status. The family that hires you completes the I-9.
Your Social Security number, driver's license number, and any health information you share are restricted to staff who need them, never used for marketing, and kept no longer than our retention period.
You can ask us at any time to update, pause, or withdraw your profile, or to see, correct, or delete your information.
11. Third-Party Links
Our website may link to other sites, such as payroll providers or job boards. We are not responsible for their privacy practices.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post updates here with a new "Last updated" date, and if a change is material we will notify you by email or a notice on our site before it takes effect.
